Retail Systems Asscoiates, Inc. Billing Policies
The purpose of the following billing policies is to minimize the risk to both Retail Systems Associates, Inc (aka: RSA) and its clients by making sure that the work we do never gets too far ahead (or behind) of the payments we receive. If you have questions about any of these policies, please feel free to discuss them with us.
Payment Policies:
Article 1B : Establishing an Intent to Pay. Clients who are unable to make an instant payment but still want to receive services may request to enter into an "Intent to Pay" agreement with RSA. This is a legally binding contract which clearly defines the services provided to the client by RSA and certifies that the client agrees to pay for said services at some specific future date. RSA will email the contract to the client, who must sign it, date it, and fax it back to RSA. Payments collected under this contract are subject to the Late Payment policies outlined below. There is a $15 fee for generating the contract. RSA reserves the right to deny this service to any client for any reason.
Article 1C: Payment for Projects of Fixed Duration. Projects of fixed duration (spanning 4-16 weeks) will be billed according to the following schedule:
Article 1D: Payment for Projects of Extended Duration. Clients that hire RSA as a continuous and regular resource for a period of months or years are usually placed on a monthly billing schedule. At the beginning of each month, RSA will submit an invoice for the services provided in the previous month. A security deposit may be required, which will be credited in full towards the last invoice when the project is completed.
Article 1E: Putting Work on Hold. RSA reserves the right to stop all work on a client's project or refuse delivery of it until that client has resolved all of its outstanding debts with RSA.
Article 1F: Cancellation. In the event a project is cancelled or otherwise postponed prior to completion, the client is only responsible for paying RSA for the services provided by RSA up to that point. There is no penalty. If the client has already made deposits on the work, RSA will deduct its services from the deposit and refund the balance to the client.
Late Payment Policies:
RSA's invoices clearly display a BILLING DATE and a DUE DATE at the top. Invoices are sent via email in PDF format. Our standard billing policy is NET 15, which we feel gives our clients ample time to mail a check (assuming they don't want to pay online.) If you are unable to make a timely payment for any reason, the most important thing is to let us know ASAP.
Article 2A: Notification of Late Payment. If the client is unable to make a timely payment, it is the client's responsibility to contact RSA in advance of the due date and notify us that the payment will be late and to provide a specific date when the payment can be expected. By contacting RSA before the due date, you will avoid the late payment penalty for that date.
Article 2B: Penalties for Late Payments. If an invoice is not paid in a timely manner, RSA will re-submit the invoice along with a reminder. If, after one month past the initial due date, the client has not contacted RSA and resolved the issue, RSA will send a letter requesting immediate payment. RSA reserves the right to bill for any and all time invested in the process of obtaining payment at an hourly rate of $40/hr. For example, if it takes us 30 minutes to resubmit the invoice and write a late notice, an additional charge of $20 would be billed to your account. If we have to make phone calls, send certified letters, or contact a collection agency, the client will be billed for that time as well.
Article 2C: Refusal to Pay. If an invoice goes unpaid for a period exceeding 30 days from the Due Date AND the client has made no effort to contact RSA and resolve the issue, RSA reserves the right to take the following actions:
In other words, you may end up paying full price for nothing.
Discount Policies:
RSA reserves the right to grant discounted services to any client at any time as a sales incentive. Clients that maintain a good relationship with RSA will also receive discounted services as set forth below.
Article 3A : Customers who use RSA's services regularly AND who make their payments on-time can qualify for generous discounts on future services.
A client's discount status is automatically lowered one level each time a late payment occurs.
